Google is making Gemini the default workspace for document work, not just a chatbot sitting beside it. Starting today, all Gemini users can generate, preview, and edit Google Docs, Sheets, slide decks, PDFs, Markdown, and code files without leaving the Gemini chat interface. The additions include full-screen document editing and inline highlighting, letting users select text or a table and prompt Gemini to rewrite or reformat it on the spot. Web only for most formats; PDF editing also works on mobile.

What this means for your business

The question isn’t whether your employees will use this. They already use Google Workspace, and this feature requires zero new logins, zero new procurement, and zero training budget to activate. The real exposure is for organizations that have been running a parallel Microsoft 365 Copilot evaluation, or paying for a point solution like Notion AI or Coda, on the assumption that Google’s AI document experience was still lagging. That assumption just got shorter.

Google’s move here follows a pattern that has beaten specialized tools repeatedly: embed the capability where the work already lives, rather than ask users to move the work to the capability. Copilot made this bet inside Word and Excel; Google is making it inside Gemini and treating Workspace as the payload. The distinction matters because Google is training users to start in Gemini and pull documents in, while Microsoft is training users to start in a document and invoke Copilot. Those are different habits, and whichever one sticks will shape which AI assistant owns the daily session.

If your organization renewed Workspace licenses in the last 12 months expecting AI features to arrive slowly, they’re arriving faster than the procurement cycle assumed. The vendor to watch isn’t Google or Microsoft directly, it’s whichever point-solution AI writing tool you’re funding on a separate line item whose core use case is now covered by something your employees already have open.
